Region Management
Region policies are important details that the region manager can designate for their region. These policies concern things like GrapeSEED licensing, billing, class and unit restrictions, and much more.
As a region administrator or account manager, you may make updates to your region's policies as you execute the GrapeSEED program in your region's schools.
You may view and edit important details about your region's policies from the Schools.GrapeSEED website listed above.
How to View and Manage Your Region Policies
To view and manage your region's policies, click on the button to the right of your region's name.
This will open the 'Edit Region' form. From this form, you may view and edit your region's GrapeSEED policies.
You may view and edit the following policies by inputting numbers or selecting from a drop down menu.

Policy Details
Follow these guides to learn about each policy and how it effects your region:
Device Activation Limit
The device activation limit limits the amount of devices, like tablets or phones, that may open the GrapeSEED app under the same account at once. By keeping a strict activation limit, you ensure that parents and students don't misuse the app, or provide it to someone without a license.
Device Deactivation Threshold
The device deactivation threshold limits the amount of times users may deactivate the GrapeSEED app on their devices. This ensures users cannot deactivate the app so that they can may activate a new device beyond the activation limit. You may change or override this setting for a specific user if needed.
Maximum Units Per Year
The maximum units per year policy allows you to limit the amount of GrapeSEED units that school's in your region may teach during the course of a school year.
Days to App Unlock/Default App Lock-state
As your region's students attend class and access the GrapeSEED app on their devices at home, the app and class should match up in terms of content. The 'Days to App Unlock' policy sets the app to only unlock the current unit's content after a certain amount of days. This policy allows you to designate the app's default lock-state and days to unlock per unit in your region.
Grace Period
The Grace Period is a designated amount of time during which departing students will still have have access to GrapeSEED materials online, like REP. You have the ability to designate a specific Grace Period for users in your region. If you change the grace period, it will only apply to students and users who depart after your change. It will not apply to previous departed students or users.
Previously, GrapeSEED students were required to attend the program for at least 6 months before being the grace period would apply. This clause has been removed, and now all students will receive the grace period following departure from the program.
Bill for Partial Term License Increases/Decreases
As a region admin, you must define your region's billing term when you create or edit your region. This policy helps you designate how to handle any increase and decrease in license between the billing term for which you are already billed and how do you adjust changes in between in your region, like when you add or remove a student.
Delay Billing for New Classes
You can use this policy to delay billing for any new classes added to your region. If you add a new class in between billing periods, it allows you to delay that classes billing for licenses until the next billing period.
Allow Schools to Set Class Units
As a region administrator you can determine the class units that schools in your region will teach. If you check this policy, however, you give your school administrators the power to set class units. This task can be shared by you, the account manager, or the coach.
Disable Unit Plan Generation
If your school sets their own class units, school users will have access to the unit plan generator by default. If you check this policy school administrators won't be use the unit plan generator. If disabled the school administrators must manually create each unit plan.
Allow Schools to Edit License Count
Region administrators also set GrapeSEED licenses and license count for the school's in their region. If you check this policy, you give your school administrators the power to edit their license count.
Allow Material Requests
By checking this policy, you allow your region's school administrators to make material requests from the school portal.
Show Downloads on Parent Portal
Starting from unit 9, GrapeSEED materials will be available for parents to download and give to their children. This is enabled by default. To disable you un-check that box.
Allow Schools Teacher to Parent Communication
Allows teachers your region's schools to communicate with parents via email.
Allows Schools Edit Parent to Teacher Communication
Allows parents in your region's schools to communicate with teachers via email.
Enforce Unit Plan Spacing
By default, when creating unit plans there needs to be a gap of a certain number of days between each unit to ensure all the unit lessons can be taught within the class' start and end date. Disabling this policy will allow users to create unit plans without Unit Plan Spacing.
Disable Class Promotion
By default, the school admin can't promote classes. If you disable this policy then they can. When enabled school admins must create new classes and move students to them instead of promoting the class.
Enable Easy Login
By default, before students may access the GrapeSEED Portal and Student App, parents must log in with their account credentials. By enabling this policy at the region level, you give schools in your region an additional login mechanism for students. Students may now login using the default approach or using codes and passwords assigned to them by their teacher.
Code based login allows students to log in to the system directly using a code as a username rather than a parent email/phone number. This login type is limited to the student app and student site.
The "Easy Login" feature (also known as Code-based login) is a region-enabled setting. To enable this feature, check the "Enable Easy Login" policy in the region setting. Once the feature is enabled, you will need to set a school code in the school settings page of every school that you would like to allow this feature for. When creating a new school, the code will be automatically generated.
Enable Phone Based Login
By default, GrapeSEED users are registered to the Portal with their email address. When 'Phone Based Login' is enabled at the region level users may register with either their phone number or their email address. The confirmation process will send an SMS to verify the phone number when the user registers via phone number. After successful confirmation, the user login page will now display the option to enter a phone number in the same form field as the email.
Required Information for Registration
By default, an email address is selected as a mandatory input for new user registration. This setting allows regions to customize registration requirements based on their specific needs. Regions can define whether an email address, phone number, or both are required for account registration. This setting determines the mandatory fields for new user registration.
Note: This setting also impacts the Edit Profile fields. Based on this setting, the Edit Profile fields will appear as mandatory.
Agree to Terms and Conditions for Material Requests
When checked, this setting will require a material order to have the agreement checkbox checked in order to submit an order.
The default Terms and Conditions are provided to all regions. Regions must localize the Terms and Conditions as per their policy if these default TOC is not fit for your region.
GS Content Access
The GrapeSEED content website provides materials for all teachers to use. You may define how much of these contents' teachers may access. You may restrict them to the units they are currently teaching, for example.
Student Registration - Manual
When enabled, Manual student registration allows you to register students singly or in bulk by generating an invitation, emailing it, and registering the student all at once. This allows you to copy and paste an entire student lists and register them quickly.
Student Registration - Generic
When enabled, students must register as they did before, with invitation emails and confirmation and registration taking place as steps, instead of all at once.
