Region Management

As a region administrator or account manager, you must make important updates to your region in order to effectively execute the GrapeSEED program in your region's schools. This includes basic info as well as GrapeSEED policies.

You may view and edit important details about your region from the Schools.GrapeSEED website listed above.

How to View and Manage Your Region

To view and manage your region's details, click on your region's name from the drop down menu. Once your region page is open, click on the Editing Icon button to the right of your region's name.

This will open the 'Edit Region' form. From this form you may edit:

  • Region Name
  • Region Group
  • Policy Region Groups
  • GrapeSEED Product Version
  • Support and Material Contact Emails
  • Time Zone
  • Device Deactivation Limit
  • Device Deactivation Threshold
  • Maximum Units Per Year
  • Days to App Unlock
  • Default App Lock State
  • Currency
  • Lesson Plan Versions (all 4 types)
  • Student Registration Settings
  • Billing Day
  • Billing Cycle
  • Billing Start Date and Month

After you have made your changes, click the Save button to save your changes. If you wish to discard your changes, click the Cancel button.

Student Verification

Due to privacy concerns, when school admins register students they may only view records that they have access to, typically only those within their school. During the manual student registration process this often led to admins missing 'Potential Matches'. 'Potential Matches' are classes where the student could enroll. This led to duplicates of student being registered.

In cases like Mid Term Transfers, where a student leaves one GrapeSEED classroom in progress to join another in a different school, this could cause students to potentially skip units.

Region Administrators, however, can see all the records and details within their region when registering students. This is why the Student Verification process was implemented, to notify region admins when these inconsistencies occur so they may correctly match students to classes.

How to Verify Students

To verify students, click on Manage Region on the far right side of your region's home page. From the drop down menu, select Manage Students. This will open a list of all the students that require verification. You may verify all students that have been flagged by clicking on Mark All Verified on the right side of the list.

The system will add students to the list if there are any discrepancies in terms of unit or license that only the region admin may see, if the student could find a better match than their current one,. This list shows the following details about the student:

  • Name
  • School
  • Campus
  • Class
  • Unit
  • Registration Date

To verify a student, click on Verify to the right of Registration Date for the student you would like to verify. This will open the Merge Students page.

From the Merge Students page you will see the newly registered student information on the left side, and other potential matches on the right side. The Newly registered students contains the following information:

  • Name
  • English Name
  • Birthday
  • Gender
  • Parent Email
  • School
  • Campus
  • Class
  • Current Unit

The Other potential matches section contains the following information:

  • Name
  • Class
  • Date
  • Gender
  • Parent
  • Current Unit

This information will help you spot any unit mismatches or other discrepancies.

If you feel there is a better potential match, select the one you feel is best from the other potential matches list. If you feel none of the matches are best, click on No Match. If you feel the original match is best, do not click on any of the other potential matches.

Once you are satisfied, click on Next. This will take you to the Merge Students page. On the left side you will see the Before merge student information and on the right side you will see After merge student information. Click on Approve to approve the student verification. Click on Undo to undo the merge. Click on Cancel to cancel.

The Event Manager

The 'Event Manager' allows you to pick what events taking place in your region you would like to receive notifications about. These events are presented in a table with check boxes next to them. By default, you will receive notifications for all event types. These events include:

  • School
    • School Info Changes
    • Move Promote Students
  • Campus
    • New Campus Added
    • Campus Disabled
    • Campus Info Changed
    • Campus Enabled
  • Class
    • New Class Added
    • Class Disabled
    • Unit Plan Updated
    • Class Info Changed
    • Class Enabled
    • Promote Class
  • License
    • License Updated
    • Student Removed
    • Student Moved
    • Subscription Changed
    • Move Unregistered Students
  • Material
    • Material Request Submitted
  • Student Verification
    • Allow Students to be Verified

Place a check mark next to the events you would like to be notified about, and remove a check mark next to events you would like not to be notified about. When you are satisfied, click on Ok to save your selections. To cancel, click on Cancel.

Once saved, future events that you disabled won't be added to your region's 'Change History' or 'Pending Changes' page. Changes are non retroactive to past events.

The 'Link Manager' allows you to add unique links to School, Parent, Content, Training, Connect, and Report sites. You can add links to the Resources, REP, or Administrator menu options.

To add a link, open the edit region page and click the Link Manager link next to the Event Manager. A dialog box will appear showing different tabs for respective sites. Go to the required site tab and click the Add a Link button. A new row will appear in the Local Links table. The table includes:

  • English Text

  • Local Text

  • Link

    Enter details in the table and click on the Add button to save. To cancel, click on Cancel. You can delete table rows by clicking on the respective Delete buttons.

Once saved, the added links will appear in the menu options of Resources/REP/Administrator depending where the link has been added.
