At the end of a GrapeSEED school year, there are important actions teachers, school administrators, account managers, and campus administrators must take to ensure steady progression from one year to another.
The year end process ensures that things are done correctly so that when the next term or year starts schools have the right information to begin with in terms of unit plans, student licenses, users, and much more.

Year End Teacher Tasks
Unit Information
As a teacher, when the school year ends, you must ensure your GrapeSEED unit information is correct and up to date. This maintains the steady progression of the GrapeSEED program. Primarily, this concerns whether your students complete your class's maximum unit.
How to Maintain Unit Information
If students reach and complete the class's maximum unit, then when the class resumes the following school year, they will begin on the very next unit following that previous max unit.
If students don't reach their class's maximum unit, you must ensure they begin next term with the last lesson they completed in the unit they didn't finish. That way, students do not miss any material.
You may also promote classes that haven't completed their maximum unit. In that case, you must edit the classroom's info from the portal. From the 'Edit Class' form, edit the maximum unit to match the last unit the class completed. That way, when you promote the class, they will begin with the unit they didn't finish.

Departing Students
When the school year ends, you may have some students who leave the GrapeSEED program for one reason or another. When students depart, you must remove their licenses to ensure no further charges take place, and to have the licenses ready for new students next year.
How to Remove Licenses of Departing Students
To remove the licenses of your departing students, login to the Schools.GrapeSEED website with your account credentials. From the 'Edit Class' form, reduce the license count by the number of students that are departing.

Disable Class
At the end of the school year, you must disable your inactive classes. Disabling a class allows you to freeze the class' student license count so that no changes can be made.
Even after disabling your class, students will still have access to the REP App during term breaks.
How to Disable a Class
To disable your inactive classes, log in to the Schools.GrapeSEED website with your account credentials. From the 'Edit Class' form, place a check mark next to 'Disable Class' in order to disable the class and freeze its licenses.

Year End School & Campus Admin Tasks
Departing School Users
At the end of a term or year, you may find that some teachers may be departing from the school or the GrapeSEED program. At the same time, school and campus admins may change, or depart as well.
In this case, you must clean up your user list at the end of the term and remove any departing teachers, school admins, or campus admins so that they no longer have access to the GrapeSEED portal.
How to Remove Departing Users
To remove departing users, login to the Schools.GrapeSEED Website with your account credentials. From there you may manage your teacher list from your School page, and any teacher who isn't active you may remove.
You may do the same for school and campus administrators. To remove a school or campus admins, go to your School page and select 'Administration' in the right corner of the page and click on Users to open the user list.
