Manage Users
As a region admin, your region will have plenty of users for you to keep track of, like school and campus admins, teachers, account managers, and coaches.
To simplify this process, you can easily look up and find users from the Schools.GrapeSEED website listed above.
How to View and Manager Users
To view and manage your region's users, click on 'Administration' on the right side of the page header. From the drop down list, select Users to open your region's 'Users' page.
The 'Users' page displays all the users in your region. From the user page you can select which users you would like to view by clicking on 'All', 'Active', 'Inactive', or 'Pending'.
You may also search for users by their region, role, name, email or phone number, by specifying each in their respective field and clicking on the Search button.
Multi region users can't search users in the global search. You must use the User page if you want to search for users in this case.
How to View your User Invitations
You can also view your region's user invitations by clicking on Invitations on the right side of the 'Users' form. This will open the 'Invitations' page.
The 'Invitations' page displays every invitation sent in your region, and important information about the invited party and invitation. This includes:
- Name
- Invitation User Type
- Creation Date
To resend an invitation, click on the mail icon to the right of 'Creation Date' and the invitation will be resent to the recipient.
To resend an invitation message, click on the message icon to the right of 'Creation Date' and the invitation message will be resent to the recipient.
To remove an invitation, click on the X to the right of 'Creation Date'. You will be asked to confirm that you want to remove the user's invitation. Click Ok to confirm, or Cancel to quit.
How to Help Users
As a region administrator, sometimes users in your region will need your help. They may need to recover their password, or set up the GrapeSEED app on a new device. You can help a specific user by going to the 'Users' page and clicking on their name to open the 'User' form.
In the 'User Form' you can change the following details:
- Username
- Email ID
- User Role
You can also reset the user's password by clicking on Reset Password, which will send the user a reset link.
How to View User's Last Login Date
If you would like to view a specific user's last login date, click on the user's name in the 'Users' list or from the global search results. This will open the 'Edit User' page. You will find the Last Login date below the 'Disabled' checkbox.
Last Login date gets updated whenever the user logs in or refreshes the screen.
How to Export User List to a PDF
From the 'Users' page, you will find a list of your region's users. To export this list into a printable PDF, click on Export on the far right side of the user list.
How to View and Manage User Extended Subscription & Leave Date
Parent users have an 'Extended Subscription' and 'Leave Date'. The Extended Subscription is a defined amount of time following the date when their child/children left the GrapeSEED program. During the Extended Subscription, the user may still access GrapeSEED REP materials for their children. Once the Extended Subscription ends, they lose access.
If you would like to view a specific user's Extended Subscription and leave date, click on the users name in the 'Users' list or from the global search results. This will open the 'Edit User' page.
If you scroll down to the Parent table, you will find the user's name. At the far right side of the table, you will find the 'Extended Subscription' and 'Leave Date' information for that user.
To change the Extended Subscription for that user, click on the date and a calender will appear, allowing you to select a new date range. You may also click on the next to the Extended Subscription. In addition, you may edit the leave date and the max unit accessible for this user by clicking the
icon next to each value.
Extended Subscription date is editable for eligible students. The Extended Subscription eligibility is dependent on the amount of time the student is a part of the class. Leaving class in less than 30 days makes the student ineligible to avail extended subscription.
The date in the Extended Subscription field represents the end of that student's Extended Subscription. Removing the Extended Subscription date will effectively stop the Extended Subscription for that student. The Extended Subscription date has a minimum value equal to the Leave date. The default Max Unit value is the last unit they studied in an active class but can be changed to any unit.
