Region Admins & Account Managers
- Region Admins can now edit the product and change its price read more

Product Price Details
Region admins may now edit the product type and price of a product by opening the 'Edit Product' page.
From the 'Edit Product' page, navigate to the 'Price' section, and click on the Edit Price icon to the left of the X icon. This will open a pop up where you may select the product by selecting a Start Unit and End Unit. To edit the price, enter the price into the Price field. When you are satisfied, click on Save to save the new price. To cancel, click on Cancel.
Annual Preparation Details
During the transition period between one school year and the next, important portal settings about schools, campuses, and classes are locked down in read only mode. This is called the 'Annual Preparation' phase. It lasts until the 'Annual Preparation Completed' status is designated by the region administrator.
During this time, internal users, like school administrators & teachers, may not edit any required school, campus, or class settings or details that are required (have a red asterisk beside them). They also will not be able to edit future class License Counts. This restriction does not apply to internal users.
Link Manager Details
The 'Link Manager' allows you to edit and curate the links your users will see in their school portal profile's drop down menus. To use the 'Link Manager' navigate to your region's page and click on the button next your region's name.
From the 'Edit Region' page, scroll to the bottom and click on Link Manager below Billing Details. This will open a pop up. At the top of the pop, you will see the option for School and Parent. Click on School to edit links for school users, like teachers and school administrators. Click on Parent to edit links for parents.
For school users, you may select to edit links in the Resources or Administration drop down menus. For parents, you may select to edit links in the REP or Resources drop down menus.
Any changes you make will apply to the drop down menu you selected.
After making your designations, click on Add Link to open the form fields of English Text, Local Text, and Link.
Enter the text you would like to appear as the link text into the English Text field. In some instances you may need to localize this text, enter the localization into the Localize form field. Lastly, enter the Link's URL into the Link form field. To delete your changes, click on the Delete icon on the far right.
When you are satisfied with your selections and input, click on Add to add the link.
Email Notification Details
In this release, we have expanded the notifications that region administrators, training managers, and coaches will receive. Now, when a new teacher joins your region or campus, you will receive an email notification. You will also receive a notification when a teacher leaves. This does not apply to teachers who are removed from one region or campus and added to another.
To manage and filter notifications so that you only see what is most important to you, including the teacher notifications, click on your Profile Name in the top right corner of the top menu bar. From the drop down menu, click on Edit Profile.
From the 'My Profile' page, click on Email Notification Setting. This will open a right hand side bar with all the notifications types listed and check marks next to them. To enable a notification type and receive it, place a check mark next to its name. To disable a notification type, uncheck the check mark next to its name. To receive all notification types, place a check mark next to Select All
Certain notifications and important system messages cannot be disabled.
Print Order Details
Previously, in order to print an order's details, the order's details had to be downloaded and then opened manually. Now, you may download and print order details directly from the 'Order Details' page.
To download an order's details, click on Manage Region on the far top right side of your region's page. From the drop down menu select Orders. This will open the 'Orders' page. Click on the Order ID of the order you would like to print to open the 'Material Order' page. Click on Print to the right of Download on the top right side of the page to print a pdf version of the 'Material Order' details.
Days to Unlock/Default App Lock State Details
'Default App Lock State' designates if the App will lock or unlock when a new license is added. If locked, the app will remain locked for a period of time before new users may access content. If unlocked, teachers and students may access content on the same day as the unit start date according to the Unit Plan. This setting has been removed from the region level and moved to the school level.
To edit the 'Default App Lock State', click on the name of the school in your region you would like to modify to open the school page. Click on the icon to the right of the school's name. This will open the 'School Setting' page.
From the 'School Setting' page, click on the drop down menu below Default App Unlock State. To lock the app, click on Locked. To unlock the app, click on Unlock.
Parents

Offline Sync Play History Status Details
The GrapeSEED App can be used offline. However, parents must sync the GrapeSEED App at least once per month in order to receive content and materials. This online sync is important because without it your child won't receive the right content for REP at home practice.
To check your Play History status, go to the Family Settings page. Scroll to the bottom of the page and click on Play History Status. This will open the 'Play History Status' page with the following details:
- Current Device Status (Online/Offline)
- Most Recent Play History Update (Sync) Date
If you haven't conducted a sync within the last month, click on Force Play History Upload at the top of the page to conduct a sync.
LittleSEED Library Details
Parents of LittleSEED students, may now access both video and audio content from the GrapeSEED student App and Student website. Previously, only video files were able to be played. Parents may now playback both video and audio LittleSEED content.
Enhanced Badge Earning Process Details
When students complete REP Playlists they earn badges and reward puzzle that encourage and support them as they learn. These badges will now flash on the screen with a celebratory animation that will play each time a student completes a round of REP.
Updated REP Alert Notification Details
Parents may now enable an 'REP Alert' notification. 'REP Alert' notifications will email parents each time there is an REP Alert. To enable 'REP Alert' notifications, click on your profile name on the top right side of the top menu and from the drop down menu select REP Activity Notifications.
From the 'REP Activity Notifications' place a check mark in the box next to the notification you would like to receive.
- Receive REP Alert
This notification will email you when your child has not completed REP practice for the amount of days you designate. Enter your desired amount of days in the form field to the left of days.
- Receive Monthly REP Summary
This notification will send you an email once each month with a summary of your child's REP activity.
- Receive Milestone Updates
This notification will email you each time your child completes a particular milestone. To enable this notification, place a check mark in the box and then select either Each time my student finishes a round of playlists or Each time my student completes all 40 playlists for a unit.
Once you are satisfied with your selections, click on Save or Update Settings at the bottom of the page.
Coaches

Coach Support Task Details
The user interfaces for both coach and teacher has been updated to show required information in the most optimized fashion while setting up the support task. The fields with no inputs will be hidden/collapsed in the form to show applicable data only. The form and text sizes has been updated to make it relevant and accept large multi-line inputs from the user. The buttons have been updated so you may respond and take action with a single click.
Now coaches will be able to identify and distinguish between 'main' and 'other' teachers for a certain class while scheduling invitations.
Pre-Visitation Details
You may view details about your visitations from the coaches home page. Click on 'View Details' next to a visitation to open the 'Visitation Page'. From here, you will find a table of teachers, with class information, and status.
If the status reads 'Yet to Send' you haven't sent the 'Pre-visitation form' to that teacher yet. To send the form, click on Send Form to the right of 'status' in the table. Check the box next to Include Last Visit Feedback to include previous feedback in the form. You may also provide notes.
If you wish to send the form to some teachers, and not others, you may check 'Ignore Teacher' on the right side of 'Schedule Visit'.
When the teacher receives the 'Pre-visitation Form' the status will read 'Pre-visitation Form Received' on the Visitation details page. When the teacher completes the form and returns it, you will be able to click on View Response below 'Action' on the visitation details page to read their responses.
Once ready, click on Move Next at the bottom of the page to move the visitation into the 'Observation' stage. You do not need to wait until the teacher has sent back the Pre-Visitation Form and their responses to click on Move Next. You may also click Save Draft to save the visitation without advancing to the next stage.
Uploading Third Party Video URL Details
During certain stages in the visitation process, you may be given the option to upload videos for the teacher to see. Click on 'View Details' next to a visitation to open the 'Visitation Page'. From here, you will find a table of teachers, with class information, and status.
Click on Upload on the right side of the page. This will open a pop up window. In the pop up window you may upload the video directly by clicking on the Upload field and selecting the file you wish to upload.
You may also upload videos as outside links to third party websites, like YouTube, Vimeo, and others. To do so, paste the link you would like to share in the Link form field. When you are satisfied, click on Save. To cancel, click on Cancel.
Copy Course Hyperlinks Details
Coaches may now share links for training courses or videos on the teacher training site directly. To share a training video or course, click on the Info icon to the left of the material's name to copy a URL shortcut which may be pasted and shared.
The link recipient, however, must have access to the course or video URL you share. If they don't have access, they will receive an 'Access Denied' message.
Lesson Video Analysis Player Details
Now, coaches will be able to play the uploaded video by teachers directly from the portal in a new media player called the 'Lesson Video Analysis Player.' This does not require any additional download.
The uploaded LVA videos will only be retained and available to view for 3 months only.
School Admins & Teachers

Moving Students Notes Details
Oftentimes, when a student is moved from one class to another, the user may wish to provide some notes as to why the student is being moved that will be relevant for their future class. You may now add notes when moving students between classes, and you may read these notes on the License History form.
To add notes while moving students, navigate to the class page of the student you wish to move. Click on the number next to Student Count on the class page. This will open the 'Edit Class License Count' page. Click on Move Students in the top right corner to open the form.
This will open the 'Move Students' page. At the bottom of the page, enter any notes you would like to accompany the moved student to their new class into the Notes form field.
Unit Plan Report Details
The 'Unit Plan Report' is a new report available on the Reports.GrapeSEED website that allows System Administrators to view every active unit plan and its details filtered by their region, school, and campus. To populate the list, select your region, school, and campus from the drop down menus next to Region, School, and Campus on the top of the screen. When you are satisfied with your selections, click on Apply.
This will create a table of each class with an active unit plan along with the following details:
- School
- Campus
- Class
- Teacher
- License
- Lessons per week
- Age
- Student count
- Current unit
- Current unit start date
- Planned unit
- App state
- Planned unit start date
- Planned unit end date
- Lesson number
VPC Randomization Details
The students could benefit from controlled randomization of vocabulary picture cards in Lesson Viewer for lesson 14 and later in all the units. When teachers present materials from Lesson 14 onward using the Lesson Viewer, the VPC cards, grouped together and multiple times (sections) in a lesson. This preserves the order of the sections, however actual vocabulary cards in a section are randomized to ensure GrapeSEED's steady progression of learning. Therefore, the child has a random chance to see each vocabulary picture card as the first card in a sequence, but it will always follow its natural order.
Improved License Management Details
The improved 'Edit License' functionality at class level will now trigger license decrease dialogue when a student is removed to allow users to adjust the license count as well.
Changed Field Set Storing Student Details
During student registration, you must enter certain information about students. There are now required and non required form fields with regard to this information. Form fields with a red asterisk are required for registration, while form fields without are not.
Required student details:
- Name
- English Name
Non-required student details:
- Date of Birth
- Gender
Upcoming Unit Notification Details
School administrators may now enable 'Upcoming Unit' notifications. 'Upcoming Unit' notifications will email school administrators each time a new unit in a class is upcoming, sent as a weekly reminder. To enable 'Upcoming Unit' notifications, click on your profile name on the top right side of the top menu bar and select Edit Profile. From the 'My Profile' page, select Email Notification Setting.
From the 'Email Notification Settings' right hand side bar, place a check mark in the box next to Upcoming Unit. When you are satisfied with your selections, click on Save. To cancel, click on Cancel.
Class Assignment Notification Details
School administrators may now enable 'Class Assignment' notifications. 'Class Assignment' notifications will email teachers each time they are assigned a new class. To enable 'Class Assignment' notifications, click on your profile name on the top right side of the top menu bar and select Edit Profile. From the 'My Profile' page, select Email Notification Setting.
From the 'Email Notification Settings' right hand side bar, place a check mark in the box next to Class Assignment. When you are satisfied with your selections, click on Save. To cancel, click on Cancel.
